Food Concession Agreement
(ALL Beverages will be sold by the Festival Only - benefits the Houston Farm and Ranch Club and
the Stehlin Foundation for Cancer Research)

A maximum of number of food concession vendors will be accepted. NOTE: To avoid duplicity - only pre-approved menu items can be sold. Please list all the items you wish to sell on the return portion of the vendor agreement. Menu items will be accepted on a first come first serve basis. * Open flames are absolutely not permitted at the Houston Farm and Ranch Club - please see * City of Houston Fire Marshal info below.
BOOTH FEES: $425.00 per space. Exhibitor space includes one (1) 20 amp. outlet. Additional outlets will be $25.00 for each additional 20 amp. outlet. Please make sure you calculate your need for electrical power properly: Add the number of watts consumed by every single electrical device you intend to operate at your booth (lights, hot plates, deep fryers, etc.) Divide the total number of watts by the voltage - 110v. This will give you the total number of amps you will need. Additional lines of service are not guaranteed the day of event - Remember we can only provide sufficient electrical service if we know your requirements.
Booth Fee includes a minimum of a 12' deep x 12' length area - Space is available for trailers, a $10.00 per additional foot (length) rate will be charged, please call for details. Vendors must provide their own cooking apparatus. A table and 2 chairs can be provided.- Vendors must furnish their own additional display and professional menu boards. Exhibitors will be listed in the "Festival Guide" and on the Houston Hot Sauce Web Page. Please make your area is festive and attractive. Exhibitors are encouraged to bring their own trash can and bags. Extension cords are the responsibility of the Vendor.
Festival will be held rain or shine in the Arena. No refunds will be given after September 1, 2008, due to cancellation by Exhibitor.
SETUP:
Friday, September 19, 2008 - 3:00 p.m. until whenever. (We have overnight security and you can stay as long as you want.)
TRAILERS MUST BE IN PLACE BY 7 A.M. Saturday, September 20, 2008.
Freestanding booth setup is from 7 a.m. - 10:00 a.m. Saturday, September 21, 2008.
All exhibits must be completely setup by 10:00 a.m. - before the scheduled event time.
Vendors MUST remain setup for the full 2 days of the festival..
An Exhibitor Confirmation packet and approved menu items will be mailed to you no later than 30 days prior to the Festival.
HEALTH PERMIT: It is the responsibility of the exhibitor to obtain a Temporary Food Permit through the City of Houston Health Department 713-794-9200.
* City of Houston Fire Marshall: Open flames are absolutely not permitted at the Houston Farm and Ranch Club. Exhibitors/vendors absolutely cannot have propane at the Houston Farm and Ranch Club, One Abercrombie St, Houston, TX 77084 during the festival hours the weekend of September 19-21, 2008. Cooking and or heating of food under the arena must be done with electrical cooking methods. Please call for info regarding charcoal grills. They can be used, but will have to be placed outside of the covered arena. It is the responsibility of the exhibitor/vendor to comply with all Fire Marshal laws - in particular the fire extinguisher regulations. Anyone breaking the Fire Marshall laws will be subject to a $500.00 to $2,000.00 fine. A "check-off" sheet will be included in your welcome packet to be signed and returned to the festival.
The promoter is not responsible for any and all injury, liability, loss or damage that may occur to property or self, while on the premises. Insurance must be placed and paid for by the Exhibitor/Vendor. The festival organizers reserve the right to ask an Exhibitor/Vendor to leave the grounds if the regulations and rules are not kept, and refunds will not be made to the Exhibitor/Vendor in this case.
